Tudor Environmental boosts efficiency with BPA Platform automation

Tudor Environmental has reported increased operational efficiency and improved data consistency after implementing BPA Platform from Codeless Platforms across its system landscape.

The company, which supplies products to the professional grounds maintenance sector, sought to address challenges related to time-consuming manual processes in its customer service department and the need for improved integration between different business systems. Tudor Environmental deployed BPA Platform to automate customer service emails and integrate its Intact iQ ERP with Magento and Salesforce platforms.

Process automation

According to Lorcan Worsley, IT, Systems & Processes at Tudor Environmental, the drive for automation was motivated by the significant workload in sending repetitive emails to customers, particularly regarding back order due dates.

"Initially, we wanted to save time for our customer services department because they were sending a lot of emails to customers when due dates for items on back order changed; ultimately sending the same email to multiple people. All that data is in the system, so we wanted to automate that process. We also wanted a tool that we could use as a go-between for our systems, as we wanted to integrate both our Salesforce CRM and our Magento website with Intact iQ," explained Lorcan Worsley.

Following the initial automation of customer service emails, Tudor Environmental proceeded to acquire the Salesforce connector, and then the Magento connector, from Codeless Platforms. This enabled the business to facilitate two-way synchronisation of data between Intact iQ and both Salesforce and Magento.

System integration functionality

Detailing the benefits of the system integration, Worsley described the Magento connector's implementation and the ongoing data flows managed through BPA Platform:

"The big advantage of BPA Platform was that the Magento connector was already set up. Basically, you just have to map it for your own fields. BPA Platform is now automating product and pricing data from Intact iQ to Magento - the product codes, product descriptions, product prices, the short and long descriptions, as well as stock. All that data is being processed on an hourly basis through to the website," explained Lorcan Worsley.

He also described how the platform supports integration with Salesforce and Intact iQ. "In regard to our CRM integration, if a contact gets created in Salesforce, BPA Platform will push that into Intact iQ. BPA Platform also checks Intact iQ every five minutes to see which ones have been recently created and sends the Intact ID back to Salesforce so the link could continue going forward."

Further projects have included automation for supplier due date requests and initiatives to extract information from Salesforce for use by representatives in the field. Worsley noted ongoing plans to continue developing such integrations.

Return on investment

Tudor Environmental stated that it observed a "good ROI" soon after deploying BPA Platform, largely due to time savings in customer service processes and improved data alignment between business systems.

"I'd definitely recommend BPA Platform, especially for what you get for the price. It's certainly a time saver and it just makes sense. The fact that it is visual in the way it handles tasks certainly helps get your head around it quicker," said Lorcan Worsley.

The most significant productivity improvement was noted in the automation of customer service emails. Worsley added that the solution created substantial resource savings, allowing the team to redirect their efforts to other responsibilities.

"Automating our processes has definitely improved our operations. Automating the emails from customer service is probably the biggest ROI we have gained from deploying BPA Platform. They were sending out the same emails multiple times a day and was taking up a lot of their time. Automating that process has saved them about two to three hours each day, five days a week. So that's saving at least 10 hours a week on an average wage, so we have seen massive time saving there."

Tudor Environmental continues to operate its headquarters in Coventry, supplying tools and equipment for groundskeeping, landscaping, street cleaning, and related maintenance activities across the UK.
