ONLYOFFICE DocSpace 3.1 update brings VDR roles & templates

ONLYOFFICE has released DocSpace 3.1, introducing enhancements including role-based form filling in Virtual Data Rooms (VDRs), advanced guest management, and new room templates.

The update brings form-filling capabilities to Virtual Data Rooms with role-based functionality, aiming to improve workflow optimisation and data security. With this feature, users can assign specific roles, track progress, and finalise forms within the platform. The company states that this advancement supports teams managing confidential records to improve their operational efficiency.

The addition of room templates is designed to help users streamline recurring workflows. This enables the conversion of existing rooms into reusable templates, simplifying future project setups. Templates are now available via a dedicated tab in the Rooms section, enabling quicker access and deployment for repeated tasks.

Guest management has been enhanced, allowing greater control when sharing and collaborating with external users. The latest system enables the sharing of guests across multiple teams, dynamic modification of guest roles, and improved oversight of access privileges for external collaborators.

Improvements in file management include the ability to instantly share fillable PDF forms directly from the file manager interface. Users can now also delete specific file versions and manage password-protected files more easily, especially when downloading in different formats.

For organisations hosting DocSpace themselves, the update introduces AES-256 encryption for data at rest. This feature is intended to assist with compliance and bolster data protection standards, addressing the need for elevated security in self-hosted deployments.

DocSpace 3.1 also brings more options for platform personalisation. Businesses can now apply custom branding, including personalised brand names and auto-generated text-based logos, offering a tailored user experience aligned with corporate identity requirements.

On the development side, the release provides ready-to-use webhook triggers for key actions, such as user creation and file management. An administrative dashboard now allows the management of webhooks in a centralised environment. Developers are also given expanded embedding options, with support for HTML, JavaScript, or NPM, increasing integration flexibility.

ONLYOFFICE states that DocSpace is used by thousands of organisations worldwide for document management and collaboration. The company emphasises that DocSpace 3.1 aims to strengthen efficiency and user control within teams managing digital workflows and sensitive information.
