Arctera adds compliance workflow tools to unified platform

Arctera has added new compliance workflow features to its Unified Platform to help organisations build audit-ready records across the compliance process.

The update focuses on linking compliance signals, internal controls and response workflows in one system. Its aim is to help compliance teams document what they found, how issues were investigated, whether controls worked, and why decisions were made.

Companies face growing pressure not only to detect potential compliance problems, but also to show the steps taken after an alert is raised. That task has become more complex as artificial intelligence tools spread through workplaces and regulated communications move across a wider range of channels and systems.

Arctera, a business unit of Cloud Software Group, said the latest release is designed to address that problem by creating a more connected record of activity across the compliance lifecycle. It presents the update as part of a broader shift from point-in-time checks to continuous governance records.

Platform changes

The additions include expanded capture of regulated communications across LeapXpert mobile messaging channels, alongside native collection for LSEG Messenger. These measures extend oversight of communications that may fall within governance and record-keeping requirements.

The release also includes end-to-end reconciliation tools intended to validate records from the original source through to the platform. The process is designed to identify missing or delayed data earlier, an issue that can create problems for compliance reviews and later audits.

Another feature covers legal hold notifications. The update improves visibility into preservation workflows, which can become significant when organisations need to show that relevant records were properly retained during reviews, disputes or investigations.

Review functions have also been expanded. File attachments can now be included within reviewer comments, while one-click inline translation has been added for eDiscovery work to preserve context during investigations involving material in different languages.

Reporting has also been broadened. The platform now includes reports on reviewer activity, hot words and user roles, giving compliance teams more information on how policies are being applied and how reviews are being carried out.

Compliance demands

The release reflects a wider challenge for regulated businesses, which increasingly need to demonstrate defensible compliance rather than simple policy ownership. In practice, that means maintaining a record that shows regulators, auditors or internal investigators how a decision was reached and what evidence supported it.

Those demands have grown as communication habits have fragmented. Messaging apps, collaboration tools and newer AI-assisted systems create more data sources and more decision points, leaving compliance teams to gather information from multiple systems when reconstructing an event or proving that controls were followed.

Arctera said its broader platform can capture data from more than 130 content sources and includes more than 280 AI policies. Those figures indicate the scale of its effort to address governance needs across a wide range of enterprise communications and information environments.

Soniya Bopache, Senior Vice President & General Manager at Arctera, described the rationale for the update in operational terms.

"Modern compliance depends on being able to connect the evidence behind every decision," said Bopache.

She linked that need to changes in working practices and the speed at which compliance teams are expected to adapt.

"The pace of change will not slow, and compliance programs need to keep up with evolving working practices. The processes behind compliance have become just as important as the policies themselves. These enhancements to the Arctera Unified Platform strengthen the workflows that help organizations operate with greater consistency, accountability and confidence," said Bopache.

Arctera was created from Veritas Technologies in 2024 and now focuses on compliance and governance software. The latest product update underscores how vendors in this market are responding to customer concerns over fragmented records, regulatory scrutiny and the need to show a clear chain of evidence behind compliance decisions.
